Real-time availability and booking via portal or kiosk, with a no-show policy and occupancy analysis per room.
A tenant emails or walks to the desk, someone checks a calendar, types up the booking and emails back. With twenty tenants, that is half an hour a day and at least one double booking a week. In Doory, members book themselves, and you keep the calendar you manage from.

Members do the everyday work; the operator handles the exceptions.
The rooms in their building, with capacity, facilities and a photo, and what is free each day. If their company has an included allowance, they see what the booking takes from it; if they go over, they see the rate before they confirm. Every booking comes with a calendar invitation, so the reservation is in Outlook, Google Calendar or Apple Calendar and does not disappear at the bottom of an inbox.
A day and week calendar across all rooms in the building. In it, you do what members cannot do themselves: book on behalf of a tenant, slot in a walk-in for someone who is standing there now, create a recurring series, or move a booking because of maintenance, in which case the tenant is notified automatically. If you block a room, nobody can book it any more.
You set per building how long before the start time cancellation is free; within that window the credits are returned and the room becomes available. If nobody turns up, Doory automatically marks the booking as a no-show. Whether you charge for that is up to you. If you are just starting, simply recording it is enough: after a month you have the conversation with a list instead of a gut feeling.
You can open a public booking page for the rooms and times you want to let. An external party chooses a time slot, accepts the terms and pays online. Because it is the same calendar, nothing can be double-booked: an external booking blocks the room for your members and vice versa. You decide which rooms are public and at what rate.
