Overage that is already waiting as a draft

By Team Doory · 2 min read

Overage is the revenue that most often gets left on the table. A tenant goes over their meeting room allowance, nobody works it out, and by the next month it is forgotten. Doory calculates the overage per company and prepares an email draft with it, straight into your Outlook inbox if you want.

Why overage so often slips away

Because the calculation has to be done separately for each company, and because the conversation about it is awkward. You need to know what was included, what was used, which rate applies and which room it was. That is five minutes per tenant if all goes well, and with twenty tenants you push it to next week. On top of that, nobody wants to send an invoice line that leads to a discussion without anything to back it up.

What Doory prepares

For each company: the included allowance, the usage, the overage and the amount at the rates per room. Below that, the bookings the overage comes from, with date and room. That is the evidence you need when a question comes in.

Next to it, an email draft is ready with that overview in it. A draft, not a sent email. You read it through, adjust the tone for that one tenant you are in discussion with, and send it. If you would rather work from your own email program, the draft appears in your Outlook inbox.

Why a draft and not an automatic email

Because the first time a tenant receives an overage email, the conversation matters more than the amount. Sometimes the right action is not an invoice but a proposal for a higher allowance at the next renewal. That decision belongs with you, not with an automated process.

What it gives you

Overage that actually gets recharged, and a conversation about figures instead of feelings. The credit report also shows you which tenants consistently go over. That is useful information at renewal: a higher allowance at a higher price is calmer for both sides than an additional charge every month.

What you set yourself

Whether overage goes on the regular invoice or is announced separately, and whether unused credit expires. Make sure that setting matches what is in the contract.
