External Meeting Room Terms & Conditions
1. Scope
These External Meeting Room Terms govern public, unauthenticated meeting room bookings made through the Flexas/Doory checkout flow.
The operator for a booking is the entity identified on the checkout page, invoice, payment page, booking confirmation, or related building communication.
2. Booking Formation
A booking request is created when the organizer completes checkout details, accepts the applicable terms, and submits the request. The booking may remain pending until payment, invoicing, availability, and operational checks are complete.
The operator may refuse, cancel, or adjust a booking where reasonably necessary because of availability conflicts, payment failure, incorrect pricing, fraud prevention, sanctions compliance, unsafe use, building closure, or operational constraints.
3. Organizer Responsibilities
The organizer is responsible for accurate contact, company, billing, and attendee information; communicating building rules to guests; arriving on time; and using the room only for lawful professional meetings compatible with the building.
The organizer must not exceed capacity, disturb other occupants, damage property, bypass access controls, or use the room for residential, illegal, unsafe, or nuisance purposes.
4. Guests
Guest and attendee details may be used for booking administration, reception, security, invoicing, support, and incident handling. The organizer must only provide guest information where they are authorized to do so.
5. Payment, Cancellation, And No-Show
Payment, invoice, refund, cancellation, and no-show rules are those shown in the checkout, invoice, booking confirmation, or building-specific communication. Fees may remain payable where the organizer cancels late, fails to attend, or breaches these Terms.
6. Building Rules
The organizer and guests must follow all house rules, reception instructions, safety procedures, access-control instructions, and reasonable staff directions at the building.
7. Privacy
Personal data is handled according to the applicable Privacy Policy and privacy notices. Accepting these Terms does not replace any separate consent or privacy notice acknowledgement where one is required.
8. Priority
If these Terms conflict with a written booking confirmation, invoice term, payment provider term, or building-specific rule, the more specific term applies for that booking.
